ODUS Plus system helps decision-makers at all levels of administration at the university to get the correct data in the appropriate time and to assemble them in the best form to assist the formulation of reliable choices. Therefore, it represents a new standard for the software of the administration of higher education, and it opens to its users a whole new world of information. This design is based on the user who defines the rules that will govern the operation of the system in order to increase productivity, where the user selects a system of special procedures similar to those already existing in the educational institution. Then, the system will be easily maintained in a permanent manner.

Compatibility of the ODUS Plus system with all the requirements of the university

As a fulfillment of the intention of King Abdul Aziz University to look forward and continually update their systems to meet the current requirements of all employees and users of the university system. And through our understanding at the company ITS, which is the company executing the project, of these requirements which were outlined in the project documents. In addition to the detailed study of the current systems, we found that the new requirements of new policy cab be summarized in terms of developing and improving the concept that the university uses to serve its users to comply with the latest concepts in the field of the international higher education. Based on the above, the ITS extracted four key aspects that must be provided to integrate with each other and with other systems. These aspects can be achieved through the following factors:
  1. provide an academic system to manage the affairs of the students during the duration of his/her study, this system should include the following systems.
  2. provide a data analysis system (Operational Data Store ODS), where the system supports the possibility of analyzing the data and provides a way to access them in order to increases the ability of the university administration to speed up the process of decision-making and data studies.
  3. provide a system to follow up the work electronically (Banner system- Banner Workflow). This system enables the university to effectively manage its own procedures and the necessary amendments or the development of a new procedure.
  4. provide an electronic gate (Luminus) which integrates all the university current and future systems, through the common entry systems (Single Sign On) and provide the required information easily and conveniently.

Integrative potentials of the system ODUS Plus:

Banner includes a series set of regulations and systems that are available for educational institutions to improve their capabilities in the presentation of administrative services where each system can be used separately or as an integrated program to process operative procedures smoothly. Because the Banner systems are integrated with each other in the data that you enter, this integration will reduce the process of entering data as well as to avoid entering repeated data again.

Functions available in the Banner system can help the university to complete its administrative work of the utmost importance with regard to the processes of enrollment and registration, curriculum and developed administrative services, procedures for rapid acceptance, flexible registration and forming schedules more easily, monitoring and reviewing grades, and issuing accurate bills. From the moment of enrollment until the moment of graduation, the system of Banner will be a good support of the university in following up and recording the student's performance accurately; as it, also, helps to find a contact device to monitor the progress of students applying for admission or those who have already joined the university where the system helps issuing letters of acceptance and enrollment along with the following up of the completion of the processes included to meet demands for application. The advantage of direct registration, which is conducted either by the registration employee or by the student over the internet, is to provide instant printing of the schedules to be registered in one step.

In addition to the above, the conversion process (Transfer Articulation), and the availability of electronic copies of certificates and forms to be issued and printed out quickly, and the verification of the compatibility using the form of "What If?". All this supports the processes for the provision of advice and the process of graduation. The system, also, features a tool to analyze the workload of each faculty to make it easier to control and follow up the educational and non-educational process.

As well as the integration between existing systems used at the university:

The following figure shows the integration of the system's components with one another. Also, it shows the possibility of integration of Banner system with existing systems used at the university. It also explains the mechanism of t he Electronic Gate and its role in the organization of this integration through the provision of (Single Sign-On) feature.

The Electronic Portal:

The combination of the electronic gate and the application of the interactive interface system will enrich the system for both students and faculty members as follows:
  • The tabs and the application of the interactive interface will appear through the Electronic Gate: whereas the Single Sign On feature which is provided by the Electronic Gate allows the student to enter the same password to all applications and self-services which are compatible with the system ODUS Plus.
  • Email service: the system contains an easy e-mail interface which enables the user ( a student or a faculty member) to follow-up all electronic messages from one place.
  • The addition of all students' email addresses to their teachers' emails which facilitates the communication between them.
  • The possibility of creating forums and various groups which will increase the interaction and exchange of views in all subjects. These forums might be academic forums for the exchange of information among college students like the forums of the medicine and the engineering students, or public forums for all the university students, or advertising and entertaining forums for buying and selling various items (cars, furniture, books, references, computers and mobiles).
  • Calendar:
    • It shows the different registration dates which are attached to the calendar reviewed by the student or the faculty member.
    • It provides the possibility of organizing the personal calendar of the student or the faculty member.
    • It offers the possibility to share your calendar with others to find out the most appropriate times of cooperative activities.
